Medical Secretariat Supervisor Location: Central London
Perm Full Time £25,000 Ref: 00134

One of our clients, a private hospital in London, currently has a permanent vacancy for a Medical Secretariat Supervisor. The main purpose of this post is to provide secretarial and administrative support to assist the department to provide services of the highest quality. To deputise in the absence of the Medical Secretariat Manager. To be a key link between Management team and medical secretaries. Provide efficient/cost effective medical secretarial service to consultants.

PRINCIPAL DUTIES:

* To arrange appointments, liaising with internal and external departments.
* To manage correspondence and telephone enquiries as directed.
* Maintain and file accurate records.
* Prioritise work to ensure deadlines are met.
* Arrange meetings and prepare minutes.
* Maintain stationary/stock levels.
* Use hospital computer system to register/obtain client information.
* Deputise in the absence of the Medical Secretariat Manager.
* Manage and supervise staff in the absence of the Medical Secretariat Manager.
* Input daily hours and monthly billing of consultants in the absence of the MSM.

Previous experience of working in a supervisory role within the medical sector would be preferred.

Medical Receptionist  

A stunning opportunity has arisen for a proven Medical Receptionist within the Private sector. This Practice is based within ‘the Medical Mile’.

You will be bright, willing, enthusiastic and ambitious. You will be responsible for the day to day running of the Reception area, meeting and greeting patients, arranging appointments and handling day to day queries. You will have an excellent, professional telephone manner and be willing to work on your own initiative. Good presentation skills are also required. As you grow with the practice so will your responsibilities with the view of working with the Directors to help maintain and build their reputation.

Although a young practice they are technologically advance and view themselves as the forerunners in Ultrasound technology using the latest scanners. You will be working with a compassionate team with a uniqure outlook to dealing with their exclusive cliental and will therefore be required to uphold this reputation. Ideally you will have experience in Obs & Gynae and Ultrasound although they are willing to view you if you have a working knowledge of other specialties and can adapt.

Administration Supervisor Location: North West London (Zone 1)
Up to £25,000 per annum

AIM OF THE POST: To provide an excellent administrative/ medical secretarial support service to all clinicians by effective management of the admin office. Ensuring patients of the Clinic are afforded the highest possible level of Customer Care. (Duties in accordance with operational and employment policies.)

MAIN RESPONSIBILITIES:

* Day to day management of admin and reception
* Dealing with queries from patients, visitors and staff
* First line for patient complaints
* Ensuring all clinical queries and requests for clinical information are passed on to relevant members of the team
* Booking and processing of day case procedures and liaising re: insurance cover/details for same
* Answering telephone queries and liaising re: appointments
* Participating in recruitment and development and first line HR of Admin and Reception staff
* Initiating and maintaining clinical audits of notes
* Day to day management and maintenance of telephone system and IT system
* Co-ordinate patient notes recovery from off-site storage facility and management of patient notes and filing system on a day to day basis
* Ensure admin team meetings held and documented
* Management of admin rota to ensure appropriate cover at all times including co-ordination of a/leave and Medical cover Rota
* Develop and implement staff training programmes for admin areas
* First line for HR/appraisals of staff that are responsible to post holder
* Overall responsibility for staff planning/staff appraisals
* Manage invoicing for clinics on a rota basis
* Implement policies, national regulations for own area I.e. responsible for risk assessments for admin/reception area

ADDITIONAL RESPONSIBILITIES

* Audio typing medical reports on behalf of patients registered at the practice
* Typing clinical/ referral letters on behalf of the Medical Director, and Business Manager and Clinicians at the practice
* Providing a follow up service for outstanding patient referral letters
* Taking/transcribing minutes of meetings
* Assist in organization of Consultants workload and undertake management of projects
* As per all job descriptions

Medical Secretary to the Consultant Radiologist (MS) Location: North West London (Zone 1)
Monday and Friday only
£25,000 per annum pro rata

EXPERIENCE REQUIRED:

* PA / secretarial experience within a medical environment
* Minimum typing speed of 55WPM / 80 WPM Shorthand / 45 WPM Audio typing
* Proficient with medical terminology
* Able to demonstrate a significant level of knowledge and understanding of the cardiac anatomy, physiology and treatment plans for cardiovascular disease for each patient. (Some basic understanding of pulmonary and gastro-intestinal disease will be needed.)
* Nursing or medical experience desirable

RESPONSIBILITIES:

* To prepare a daily list of patient appointments for the Consultant Radiologist (CR).
* To assess and deal with incoming correspondence for the Radiologist.
* To deal with telephone queries concerning patients and other matters on behalf of the Radiologist, and to inform him/her of the outcome.
* On occasion, to take shorthand dictation of patient reports and letters.
* To type patient reports from audio tape dictation using the Filemaker Program.
* To inform Superintendent Radiographer of any delay to reports of over 24 hours.
* To ensure that the correct scan images accompany patient reports.
* To telephone referring doctors with a verbal report on their patient’s results, and to ensure that a copy of the report is posted promptly to them.
* To liaise with the other Clinic staff regarding the status of patient reports, and on other matters referred to them by the CR.
* To monitor progress of workload by liaising frequently with CR.
* To follow up patients on occasion by telephoning or writing at the CR’s request, and to maintain a ‘bring-forward’ filing system for this purpose.
* To liaise with doctors providing specialist services to the Clinic, eg cardiologists, and to be responsible for providing them with clinical information by faxing/posting patient reports to them when necessary.
* To assist the CR with assembling clinical data for research purposes.
* To respond to telephone queries to the Clinic from prospective patients seeking information about EBT scanning procedures.
* To maintain up-to-date records and files. This includes maintaining files with up-to-the-minute information and figures concerning EBT. This information must sometimes be extracted from incoming publications and photocopied.
* To assist the CR in maintaining links with outside professional bodies.
* To hand deliver ‘urgent’ reports to local doctors under instruction of Superintendent Radiographer
* Compile, log and monitor patient feedback forms reporting to Medical Director monthly.
* To assist with ad hoc administration / marketing mail outs when required and other duties permit.
